The problem
Customers, sales representatives, and administrators needed one connected path from catalog and quote through approval, order, invoice, and payment.
What I did
I built the portal with AI coding agents and reviewed what they produced. The parts I worked on most directly were letting representatives turn an approved quote into an order, order notifications, links that let customers pay an invoice, fixes to the payment form, and tightening who can access what.
Decisions that mattered
Separate experiences by role
Customers, representatives, and administrators each get a portal shaped around their own tasks.
Hand payment to the existing stack
Card payments go through the client’s existing WooCommerce and payment gateway setup rather than a new processor.
Confirm payment before marking it paid
An invoice only changes to paid when the payment system confirms the charge.
- 1. Customer
Builds a quote request from the catalog
- 2. Representative
Prices the quote within approved ranges
- 3. Administrator
Approves pricing where needed
- 4. Representative
Turns the approved quote into an order, with notifications sent
Hands-on - 5. Customer
Pays the invoice from a link through the existing payment gateway
Hands-on - 6. System
Marks the invoice paid once the payment is confirmed
Hands-on
What was delivered
- Three role-based portals
- Representatives can turn an approved quote into an order
- Order notifications
- Invoice payment links and payment state updates
What can be shown
In October 2026 a live end-to-end test payment completed, and the invoice updated to paid automatically.
That is one successful test, not proof of long-term reliability. Some payment work was still being merged when this was written.
